Your store isn't the average catalog — why should your software assume it is?
You sell on your own site plus Amazon, eBay or Etsy, and every platform has its own idea of stock, pricing and order status. Off-the-shelf inventory tools sync the basics, but the moment you run bundles, kits, or different reorder points per channel, someone ends up reconciling stock by hand in a spreadsheet.
Returns are never just "return accepted, refund issued." You have RMAs that need inspection before refund, partial returns on multi-item orders, exchanges instead of refunds, and different rules per supplier for who eats the shipping cost. Generic e-commerce software gives you one return workflow — yours doesn't fit in one.
Between your storefront, your 3PL or warehouse, your suppliers' order sheets and customer service tickets, the same order number gets typed into four different tools. Nobody built the software to reflect how your operation actually flows from order to delivery — so you're the integration layer.
How AstraLoop approaches it
We don't sell you another inventory app with a returns module bolted on. We map how orders, stock and refunds actually move through your business, then build software around that — including the parts that don't fit any template.
Real-time stock across every channel
One inventory source of truth that updates your site, marketplaces and warehouse together — including bundles, kits and per-channel reorder thresholds, not just single SKUs.
Returns handled your way, not the generic way
Inspection-before-refund, partial returns, exchanges, supplier-specific shipping rules — whatever your actual RMA process looks like, modeled as a real workflow instead of a workaround.
Built around your process, not the other way round
We start from how your team actually processes an order today — including the exceptions — and design the software to match it, instead of asking you to change how you work to fit the tool.
Your data stays yours
Direct integrations with the marketplaces, carriers, suppliers and invoicing tools you already run on — no lock-in to a platform's ecosystem, no export limits on your own order history.
Plenty of stores are fine with a good off-the-shelf platform — if a standard tool covers your channels, your return rules and your catalog structure without daily workarounds, we'll tell you that on the call, no hard sell.
How we work
Process discovery
We walk through how orders, stock, returns and supplier flows actually work in your store today — channels, exceptions, spreadsheets and all — before writing a line of scope.
Workflow design
We map the real flows into a system design: what data lives where, what syncs automatically, what still needs a human check, and where your edge cases sit.
Build and integration
We build the software and connect it to your storefront, marketplaces, carriers and supplier tools — testing against your actual order and return scenarios, not generic ones.
Rollout and support
We launch alongside your team, fix what real orders reveal in the first weeks, and stay on to extend the system as your channels or catalog change.
More on custom management software
Standard or custom, what it costs and how it applies to your sector.
Frequently asked questions
How much does custom management software cost compared to an off-the-shelf tool?
It depends entirely on scope — the channels you sell on, how complex your returns and bundle logic are, and which systems need to connect. There's no subscription markup; you pay for what gets built. On the call we scope your actual process and give you a real number, not a range pulled from a price sheet.
Do we really need custom software, or would a standard e-commerce platform work fine?
Sometimes a good standard platform is genuinely enough — if you sell on one or two channels with straightforward returns, we'll say so. Custom makes sense when you're juggling multiple marketplaces with different sync rules, non-standard return or bundle logic, or supplier workflows no off-the-shelf tool models properly.
We already track orders in Shopify plus spreadsheets and WhatsApp with suppliers — can you migrate all of that?
Yes. We start by mapping what's currently tracked where — orders in Shopify, stock adjustments in spreadsheets, supplier confirmations over WhatsApp — and migrate the historical data that matters into the new system, so you're not starting from zero on day one.
Does it integrate with the marketplaces and carriers we already use?
Yes — that's the point. We connect directly to your storefront platform, the marketplaces you sell on (Amazon, eBay, Etsy and others), your carriers, and your invoicing tools, so order and stock data flows automatically instead of being re-typed.
How long does it take to build?
It depends on how many channels and workflows are in scope. A focused first version covering your core order and stock flow typically comes together faster than you'd expect; more complex multi-channel or returns logic takes longer. We give you a real timeline after the discovery call, not before.
Tell us how orders, stock and returns actually move through your store. We'll tell you honestly whether custom software makes sense — and if it does, how we'd build it.
